Responsibilities:

  • Provide administrative support needs of the Executive Vice President and key business leaders on the Executive Management Team in support of a growing, global business

  • Develop and maintain knowledge of the department and company; assist and coordinate activities for the leadership team, complete administrative duties and participate in organizational activities to meet or exceed company objectives

  • Assist in the organization and prioritization of projects and activities for the assigned team; coordinate and track special activities, on and off-site meetings and presentations within the department; schedule and coordinate calendar events for members of the leadership team; make travel arrangements; manage expenses, budgets for special events, and BU procurement card use for larger business transactions; and keep track of special calendar events

  • Act as a liaison with global office locations with regards to leadership staff and information needs, liaison with other Executive Assistants and/or corporate planners for senior executive visits and/or meetings

  • Maintain strong customer focus when representing Wolters Kluwer in interactions involving customers or Industry groups/partners by developing and maintaining comprehensive knowledge of Wolters Kluwer products, industry trends and general business through various sources and initiatives

  • Communicate in a professional, compelling, and articulate manner of speech, writing and formal presentation; demonstrating corporate core values and culture; developing professional and positive relationships with customers and colleagues; and maintaining a reputation of competence, integrity and professionalism

  • Collaborate with other administrators and site leaders in the organization to coordinate and complete special projects, reception coverage and office activities

  • Perform other duties as assigned or requested by leadership

Qualifications:

  • A minimum of three years of executive level administrative support experience; preferably in a large scale, global matrix corporate structure supporting C-level executives

  • Associate's degree from an accredited college or university; Bachelor's degree from an accredited college or university preferred

  • Experience as a partner in managing Executive's time to help ensure most effective outcomes

  • Proficient with Microsoft Office Suite applications including Word, Excel, PowerPoint and Outlook

  • Experience in writing, proofreading and editing highly desirable communications and presentations

  • Detail oriented, precise, and quality oriented, along with strong project management skills to help ensure timely delivery of projects

  • Skillful in working on multiple projects simultaneously and flexible in handling changing priorities

  • Ability to think ahead and prevent resource/scheduling conflicts

  • Ability to professionally push back on individuals to help ensure a smooth-running organization

  • Excellent communication skills with the ability to effectively interact internally and externally with senior leaders and maintain strict confidentiality
