Wolters Kluwer Tax & Accounting is looking for a Senior Administrative Assistant to join our US Research & Learning team in our Riverwoods, IL office location.

The Sr. Administrative Assistant supports the Research & Learning Management Team (MT) with a variety of administrative, reporting, event planning and basic project management tasks across most functions (Sales, Product Management, Editorial, Finance, Marketing). The incumbent will compile and analyze more complex information for inclusion in reports and presentation materials, prepare charts, graphs, or tables as necessary.
Essential Duties and responsibilities
The Sr. Administrative Assistant is primarily responsible for:
Responsible for day to day admin support that may include scheduling and event planning
Assist with event planning needs of the Management Team
Assistance with tracking projects and communications with key stakeholders
Support the processing of transaction compliance (purchase order creation, subscriptions, invoicing, etc.
Support the maintenance of contractual records and documentation such as receipt and control of all contract correspondence, customer contract information sheets, processing into the contract management system, contractual changes, and status reports
Ensure that signed contracts are communicated to all relevant parties to provide contract visibility and awareness. Ensure contract close-out, extension or renewal
Updating of Sales Collateral Folder and distribution of new hire kits
Ad hoc reporting and data consolidation (Sales and Marketing)
Develops and maintains strong relationships with internal and external work partners to resolve problems proactively and professionally
Logistical, administrative, and operational support and scheduling for special projects
Review recognition nominations against criteria, facilitate MT award consideration and order gift cards, prepare award certificates quarterly
Work with Executive Assistants to manage calendars and assist with travel/scheduling and meeting planning, as needed.
Performs other duties as assigned by Management Team Leader
Normal office environment.
Education: * Bachelor's degree or equivalent
- 4 years of related experience in an admin support role and/or general business experience required preferably at a multi-national
Other Knowledge, Skills, Abilities or Certifications
Proven ability to manage multiple projects.
Ability to perform in complex cross-functional business environment.
Strong problem solving and troubleshooting skills.
Proficient in Microsoft Office Word, Excel, Visio, Adobe Acrobat Pro and CMS system.
Requires the ability to exercise independent judgment and employ basic reasoning skills.
Strong organizational skills, including ability to manage timelines, both as an individual and as part of a team.
Ability to balance multiple deadlines.
